We initially started looking for a new Warehouse Management System because our previous one was no longer meeting our needs. The lack of accessible support, combined with limited flexibility and no real system development, made day-to-day operations more difficult than they needed to be. Simple processes, like integrations with key customers, became time-consuming and frustrating, and it was clear we needed a more reliable, future-proof solution.

From the very beginning, working with Optima Warehouse Solutions was a completely different experience. One of the biggest advantages for us was being able to speak directly to knowledgeable people who understood the urgency of warehouse operations. When issues arise, you need quick, effective responses—and that’s exactly what we get. While we rarely need support now, having that level of responsiveness and reassurance has made a huge difference to our confidence in the system.

The sales and implementation process also stood out. Despite the natural complexity of implementing a new WMS, the whole process felt far less daunting than expected. The Projects team were always on hand to guide us, answer our questions, and ensure everything stayed on track, making the transition smooth and manageable.

Since going live, we’ve seen significant improvements across our operation. The ability to queue invoices in bulk has transformed our invoicing process, reducing what used to take a full week down to just a few hours each month. However, the standout benefit has been the bespoke development work. Being able to tailor the system to suit how we actually operate—rather than adapting our processes to fit a rigid system—has been a game changer. It’s improved efficiency, removed unnecessary steps, and had a really positive impact on our warehouse team.

It’s also enhanced the service we provide to our customers. With the introduction of the web portal, our clients can now access their own stock reports and carry out their own comparisons whenever they need to. This has reduced the workload on our admin team while giving customers faster, more direct access to the information they need.

Overall, the relationship we’ve built with the Optima team, particularly the Projects team, has been a huge part of the success. They take the time to understand what we’re trying to achieve and translate that into practical solutions without overcomplicating things. It’s helped us become more efficient, improved day-to-day operations, and reassured us that we made the right choice in choosing Optima as our WMS provider.
